Service Department Coordinator

About the Role

The Service Department Coordinator plays a critical role at Tasha Fuels & Propane, serving as the main point of coordination between our customers, service technicians, and management team. This position helps keep daily service operations running smoothly by managing scheduling, dispatching, communication, and follow-up for oil burner and heating service calls.

This is a fast-paced, detail-oriented role that directly impacts customer satisfaction, technician efficiency, and overall service quality. The right candidate is organized, calm under pressure, and comfortable handling no-heat situations with urgency and care.

Key Responsibilities

  • Schedule and dispatch service technicians for daily service calls, including no-heat emergencies, maintenance, and tune-ups
  • Prioritize calls appropriately based on urgency, weather conditions, and customer needs
  • Serve as a primary point of contact for customers via phone and email, answering questions and communicating appointment details and ETAs
  • Review and assign service tickets with accurate information related to equipment type, site conditions, and service history
  • Coordinate parts ordering and work with vendors to ensure technicians have the materials they need
  • Track and manage service documentation, work orders, and invoices within company systems
  • Assist with permit coordination for installations and ensure service activities meet safety and code requirements
  • Perform follow-up calls to confirm customer satisfaction and help identify recurring service issues

Qualifications and Skills

  • Previous experience in the energy industry, HVAC, or service dispatching preferred
  • Familiarity with oil burner systems, propane systems, or HVAC equipment is strongly preferred
  • Strong communication skills with the ability to remain professional and reassuring during high-stress situations
  • Excellent organizational and multitasking abilities in a fast-moving environment
  • Comfort using scheduling software, CRM systems, and Microsoft Office applications
  • Ability to work collaboratively with technicians, office staff, and management

Schedule and Work Environment

  • Full-time, in-office position
  • Generally Monday through Friday
  • May assist with coordination of on-call or after-hours service schedules
